Terms and Conditions

Himalayan Eco Ride is a reputable biking adventure company that is registered with the Nepal government to provide premium services for riding enthusiasts. We attempt to offer you the best experience in the distinct landscapes of Nepal, India, Tibet, Bhutan, and Sri Lanka to make the tourism sector better. We prioritize your pleasure and fulfillment. Before planning a trip through us,  you must go through our following terms and conditions carefully.

Travel Insurance

Before embarking on a biking tour with us, we expect you to have the best travel insurance, including helicopter evacuation in the Himalayas. In addition, insurance is mandatory for every customer to avoid extra expenses for medical emergencies, trip cancellations, and other possible circumstances during the journey.

Note: We are not responsible for any losses or expenses because of personal health emergencies, theft, or accidents.

Booking and Deposit Payment:

  • Request you deposit 10% to 20% of the total amount for the trip for confirmation with the Himalayan Eco Ride at the time of booking, depending on the tour.
  • The remaining payment should be paid at least 30 days before the departure date.
  • All customers conducting late bookings (made within less than 30 days of departure) must pay completely at the time of reservation.
  • You can pay through bank transfer, credit card, or other approved methods outlined by Himalayan Eco Ride.

Note: Please note that using a credit card results in an extra service fee that is not covered by the cost of your trip; we strongly advise against doing so. (4.5% extra)

Cancellation and Refund Policy:

  • For any cancellations made 30 days or more before the departure date, the deposit is nonrefundable; however, the remaining balance will be refunded.
  • The following charges will apply to cancellations made less than 30 days before the departure.
  • If you cancel the trip 30 to 25 days before departure, you will have to pay a 20% charge. In the case of 14 days or less before departure, a 40 % service charge against the total cost of the trip will be taken.
  • No-shows coupled with early departures will not result in refund payments for unused services. The Himalayan Eco Ride will offer full refunds or alternative trips in case it is canceled because of unforeseen circumstances, such as weather conditions, political unrest, or insufficient participants.

Changes to Itinerary

  • If unforeseen conditions, such as weather or road conditions, and other factors spoil the trip plan, the Himalayan Eco Ride retains the authority to alter itineraries.
  • We will offer a different itinerary or route without sacrificing the quality of the trip.

Bike and Equipment Rental

  • The rider who uses Himalayan Eco Ride bike rentals needs to maintain appropriate bike handling while their rental period is active.
  • The customer will pay for all bike damages that occur because of their carelessness.
  • Riders bear full responsibility for purchasing their safety equipment for biking, including helmets and gloves.

Accommodations and meals

  • The accommodation operates on a twin-sharing format except when differently specified. Individual supplements may be offered at extra expense based on the selected tour package.
  • The customer’s schedule determines the meals provided to them. The participant needs to inform the organizers of their dietary needs in advance.

Personal Conduct and Responsibility

  • Participants have to demonstrate respect for all cultural customs as well as environmental and local conditions.
  • Drugs, as well as vandalism and other illicit acts during a trip, will trigger the instant expulsion of the traveler from the program without a refund.
  • All controversies that arise during the trip should receive professional attention from trip leaders or management personnel.

Health and Fitness Requirements

  • All biking adventures require a certain level of physical fitness from riders.
  • Participants hold the responsibility to maintain their health condition during the journey.
  • Every traveler must prove their physical condition enables them to join the scheduled trip.
  • All health conditions of participants need disclosure during ticket confirmation procedures.
  • Participants who cannot ensure their health and safety and neither place themselves nor others at risk will be denied entry into the tour.

Note: Himalayan Eco Ride will stop any individual from joining their programs when their doctor declares them unfit for biking due to a risk to their health or the health of others.

Risks and Liabilities

  • As part of a biking adventure, participants may face various risks that include accidents and injuries, illnesses, and natural disasters, along with political uncertainties, illness, natural disasters, and political instability.
  • Safety precautions will be taken by Himalayan Eco Ride yet the organization declines responsibility for certain occurrences.
  • The participants need to take all instructed safety precautions and adhere strictly to the guides and local officials' laws.

Force Majeure

Any unpredictable events will not affect Himalayan Eco Ride’s responsibility regarding payment modifications, schedule changes, or extra costs. The organization accepts no accountability for unforeseen circumstances, including disasters or political unrest, alongside flight delays together with the government.

Governing Law

  • The terms and conditions are regulated through Nepalese laws. Therefore, all legal matters concerning Himalayan Eco Ride must be solved through Nepalese courts.
  • When you book a trip with Himalayan Eco Ride, you confirm understanding all points of this agreement.
  • The traveler accepted this contract by agreeing with the mentioned terms and conditions.
  • The Himalayan Eco Ride is not responsible for changes, cancellations, or additional costs due to unforeseen events such as natural disasters, political unrest, or flight.
